Maintaining User Contract Authority

  1. Changing Dates and Status for Multiple User Contract Authorities

The Contract Authority tab of the User Summary component contains a list of all the contract authorities that are currently assigned to the selected user. Contract authority works in conjunction with other security features to give users the authority to access and change contract information.

Each row contains an Actions button and current values for the following fields:

Click in a field and add, delete, or change information as needed. If the All Contract Access check box is selected, the Administrative Office ID field is hidden. The administrative office you enter in the Administrative Office ID field must be specified for the person associated with this user account (see Maintaining a Person).

To add a new contract authority for this user, click the New button. The system adds a new blank row at the bottom of the list. Enter information as required.

To delete a newly added row, click the Delete button at the end of the row. The system deletes the row immediately.

To delete a saved contract authority, select Delete from the Actions menu on the contract authority row. To reverse the deletion, click the Undo button.

When you are finished, click the Save button. The system displays a message to confirm that your changes were saved in the database.

Changing Dates and Status for Multiple User Contract Authorities

  1. To change the effective date, expiration date, or status for more that one user contract authority at a time, select Multi-Row Contract Authority Date Assignment from the Actions menu on the contract authority list.

    The system displays a modal window where you can select contract authorities assigned to the user.

  2. To find the contract authorities you want, enter criteria in the Quick find search box, or click Show first 10.

  3. Click a user contract authority row to select it.

    A check mark appears at the beginning of the row to indicate it is selected. Continue selecting contract authority rows as needed. You can click a row again to clear the selection.

  4. Enter new values in the Effective Date, Expiration Date, and Status fields at the top of the modal window.

  5. To apply the dates and status values you entered to all of the selected user contract authorities, click the Save button.

    The system closes the modal window and displays a message to confirm that your changes were saved in the database. The appropriate rows on the Contract Authority tab are updated with the dates and status values you entered in the modal window.
