Managing Security Roles

A user role is a name associated with a collection of security access rights to the information contained in system components. Roles combine the permissions needed for several related tasks and allow you to more efficiently provide users with access to the parts of the system they need.

The Role Overview component enables you to manage all the security roles in the system. To access the Role Overview, click the Roles link in the System Administration component.

To make changes to an existing role, first locate the role by typing criteria in the Quick Find search box or by clicking Show first 10. The system displays a list of records for all the roles in the system that match your search criteria. Each row contains an Actions button and current values for the following fields:

To modify a role, click the Role ID link or select Open from the Actions menu on the row for the appropriate role. For more information, see Changing a Role.

To add a new role, select Add from the Actions menu on the component header. For more information, see Adding a Role.

If the new role you are adding is similar to an existing role, you can save time by creating a copy of the existing role, assigning it a new role ID and then changing any minor differences in access rights for the new role. To copy a role, find it in the list and select Copy from the row Action menu. For more information, see Copying a Role.

To delete one or more roles, click the Action button in that role's row and select Delete. When you have marked all desired roles for deletion, click the Save button to delete them permanently from the system.

To enable a role to assign contract authority to other roles, select Assign Contract Authority Assignable Roles from the row Actions menu. For more information, see Assigning Contract Authority Assignable Roles to a Role.

To assign or change the components to which a user role is allowed access, select Assign Rights: Components from the row Actions menu. For more information, see Assigning Component Access Rights to a Role.

To assign resources to a role, select Assign Rights: Resources from the row Actions menu. For more information, see Assigning Resource Access Rights to a Role.

To assign or change the workflow phases to which a user role is allowed access, select Assign Rights: Workflow from the row Actions menu. For more information, see Assigning Workflow Phase Access Rights to a Role.

To assign a role to users, select Assign Role to Users from the row Actions men. For more information, see Assigning Roles to a User. You can also assign roles to a user on the User Roles tab of the User Summary component (see Maintaining User Roles).
