Maintaining Item Information

In AASHTOWare Project, items represent the smallest unit of work within an agency project on which a bid can be made. You can define groups of items to represent alternate design possibilities, and you can divide the quantity of work for an item across multiple categories within a project.

An item can consist of biddable work (for example, Bituminous Asphalt, Guard Rail, or Structure Excavation) or can be designated as non-biddable work, meaning the proposal vendors do not see or bid on the item but it is included as part of the total cost (for example, Quality Incentives, Contract Revisions, or Force Accounts).

When you click the Items link in the Reference Data component, the system takes you to the Item Overview component where you can add, change, and delete information in reference item rows. Type criteria in the Quick Find search box to locate the item row you want to maintain, or click Show first 10. The system displays a list of rows for items that match your search criteria.

Each item row contains an Actions menu and current values for the following fields:

You can change the Obsolete Date in the list. To change additional information about the reference item, select Open from the Actions menu on the item row.

To delete a reference item, select Delete from the Actions menu on the item row. To reverse the delete action, click the Undo button.

When you are finished, click the Save button. The system displays a message to confirm that your changes were saved in the database.

To add a new reference item to the system, select Add from the Actions menu on the component header. For more information, see Adding a Reference Item.

To add a new item by copying an existing item, select Copy from the Actions menu on the item row you want to copy. For more information, see Copying a Reference Item.

To associate a DWR agency view with a reference item, select DWR Agency Views from the Actions menu on the item row. For more information, see Maintaining DWR Agency Views for Reference Items.

To copy a reference item to a new spec book, select Copy Reference Item Spec Book from the Actions menu on the item row. For more information, see Copying Reference Items to a Different Spec Book.

To create a new item group set based on a reference item, select Create Item Group from the Actions menu on the item row. For more information, see Creating an Item Group from a Reference Item.
