Maintaining Document Submissions

The Document Submissions tab on the Contract Document Summary lists documents that are related to the contract and were submitted to the agency. Expand a row to display all of the available information. Each document submission row includes the number of reviewers, an Actions button, and current values in these fields:

Click in a field and add, change, and delete information as needed. You cannot modify document submissions that have an assigned reviewer or those associated with a closed contract.

To record a new document submission, click the New button. The system adds a new blank row. To save the new row, you must enter a value in the Description field.

To delete a document submission, select Delete from the Actions menu on the document submission row. You cannot delete a document submission that has a completed document review. To reverse the delete action, click the Undo button.

To save your changes, click the Save button. The system displays a message to confirm that your changes were saved in the database.

To view or maintain reviewers assigned to the document submission, select Reviewers from the Actions menu on the document submission row. The system takes you to the Document Submission Reviews component (see Maintaining Document Submission Reviewers).

If you want to schedule a document submission to occur regularly, such as for a monthly or quarterly report, you can associate the document submission with a recurring contract time. Select Associate Recurring Time and Actual Date from the Actions menu on the document submission row. The system opens a modal window for selecting recurring contract time occurrences. Click a row to select it. To indicate the date when the document was actually received, enter it in the Actual Occurrence field. When you are finished, click the Associate Recurring Event button. The system closes the modal window and enters values in the Time ID and Planned Occurrence fields. If you entered a date for the actual occurrence, it is displayed in the Actual Occurrence field. Your changes are saved automatically.

If a recurring contract time is associated with the document submission, you can click the Time ID link to go to the Contract Time Summary for the associated contract time (see Maintaining Contract Documentation).

To remove the Actual Occurrence date and contract time association, select Clear Recurring Time and Actual Date from the Actions menu on the document submission row. The system clears the values and saves your changes automatically.
