Copying a Sample Record

The Copy Sample Record guided process enables you to make a copy of an existing sample record and select which sample record data you want to include with the copy. You can choose whether to copy the remarks, sources, facilities, DSR link, associations, destination labs, contract project items, tests, and test results associated with the original sample record.

To copy a sample record, follow these steps:

  1. Navigate to the Sample Record Overview, locate the sample record you want to copy, and then select Copy from the Actions menu on the sample row. Or, you can open the sample record, and then select Copy from the Actions menu on the Sample Record Summary component header.

    The Copy Sample Record component opens on Step 1 - Lab Control Number.

  2. Select an option to determine the origin of the lab control number for the copied sample record.

    You can choose to copy the lab control number from the original sample record, enter a new lab control number, or use a different lab control number that is already entered in the system.

  3. Click Next.

    The guided process displays the Step 2 - Enter New Sample Info. You can click Previous to return to a previous step at any time.

    The Sample ID field either displays the value from the original sample record or displays a system-generated value, depending on agency option settings. The Sample Date field displays the value from the original sample record. The Lab Control Number varies depending on the option you selected on the previous page. If you chose to copy the lab control number from the original sample record, this field is read-only. If you chose to enter a new lab control number or select an existing one, you can modify the value in this field.

  4. Enter or modify values in the Sample ID, Sample Date, and Lab Control Number fields as appropriate. Sample ID is required and must be unique.

    When you copy a sample record, you might not be able to enter a value in the Sample ID field depending on agency option settings. If your agency has the Sample ID Auto Generation agency option set to True, the system automatically generates a value in the Sample ID field when you create a new sample record. You cannot change a system-generated sample ID unless your agency also has the Sample ID Auto Generated ID Override agency option set to True. If both options are set to True, then you have the ability to reject the system-generated sample ID and create a new ID manually.   5. Click Next.

    The guided process displays Step 3 - Select Data to Copy.

  6. Select the check boxes for the types of sample data you want to copy from the original sample record. Clear the check box for sample data you do not want to copy.

    You can select or clear check boxes for the following sample record data: Sample Record Remarks, Sources/Facilities, DSR Link, Sample Record Associations Other Than Destination Lab, Destination Lab, Contracts, Tests, and Test Results. If you select the Contracts check box, contract project item associations are copied to the new sample record. If you select the Tests check box, the next step in the guided process enables you to choose which tests you want to copy.

  7. Click Next.

    The guided process displays Step 4 - Select Sample Record Tests. If you selected the Tests check box on the previous step, the tests assigned to the original sample record are listed. If you did not select the Tests check box, the list is empty.

  8. If you are copying tests with the sample record, click the rows for the tests you want to copy.

    The system adds a check mark at the beginning of the row. You can click the row again to clear the selection. Continue selecting tests as needed.

  9. When you are finished, click Next.

    The Confirm step shows a read-only summary of the data and settings you selected.

  10. After you review the information, click Confirm.

    The system copies the sample record and any information you selected. The new sample record is displayed on the Sample Record Summary. For more information, see Maintaining a Sample Record.
