Assigning Funding to Contract Items

Each item in a contract must have one (and only one) fund package assigned to it. You can assign fund packages to items individually, to all items in a category, or to all items in the contract.

The Fund Package Assignment Summary component allows you to assign fund packages to contract items. To access the component from the Contract Fund Package Summary, click the Fund Package Assignment quick link.

The component contains two vertical lists. The left side of the component contains a row with fund package assignment settings for the contract, the contract project, a list of rows with settings for each category in the contract project, and subsequent rows with settings for each item within a category. If the contract includes multiple projects, category and item rows are grouped by project.

Each category row displays the Category ID and Category Description. Expand a category row to view a list of all items in the category. Each item row contains current values for these fields:

The right side of the component contains a list of fund packages for the contract. The information in this list is for reference only and cannot be changed. Each fund package displays the Fund Package ID, the Fund Package Description, and a count of how many funds the fund package contains. Expand a fund package row to display rows for each fund included in the package. Each fund row contains current values for these fields:

Each fund package in the list is labeled alphabetically, beginning with the letter "A." These labels correspond to the fund package assignment settings in the rows for the contract, contract projects, categories, and items on the left side of the component.

Each item row contains letter indicators for the fund packages in the contract, and an indicator labeled None. The contract, contract project, and category rows also include a Mixed indicator. For example, if a contract contains three fund packages, each item row would contain indicators for None, A, B, and C. The contract, contract project, and category rows would contain indicators Mixed, None, A, B, and C.

The system automatically selects the Mixed indicator for the contract, contract project, or category row when items within the contract, contract project, or category are assigned different fund packages. The system initially selects the None indicator for the contract and any rows for contract projects, categories, or items before fund packages have been assigned.

To assign a fund package to an item or change the current assignment, expand the appropriate category row. Locate the item in the list, and select the letter indicator for fund package you want to assign.

To assign all the items in a category to the same fund package, select the appropriate letter indicator on the category row. The system automatically selects the same indicator for all item rows for that category.

To assign all the items in a contract project to the same fund package, select the appropriate letter indicator on the contract project row. The system automatically selects the same indicator for all item and category rows for the contract project.

To assign all the items in the contract to the same fund package, select the appropriate letter indicator on the contract row. The system automatically selects the same indicator for all item, category, and project rows in the contract.

When you are finished, click the Save button. The system displays a message to confirm that your changes were saved in the database.
