Maintaining Contract Progress Schedules

The Progress Schedule tab on the Contract Progress Summary allows you to create a schedule by which the system can automatically monitor the progress of a contract based on the agency's Notice to Proceed Date and the Actual Completion Date recorded in contract time.

Depending on the type of schedule selected, you can track the percent of work complete for designated time periods, the percent of critical items completed for designated time periods, or percent of work complete only on the final day or date. To create the schedule, you will enter a schedule type, one or more time periods, and a percentage you expect to be completed in each time period.

The upper part of the tab displays the following fields:

The rest of the component contains the schedule itself in two parts. The upper part is the Progress Schedule Actuals to Date, which shows the contract's current progress to date. Expand the list to view the progress made for each time period in rows. Each row represents one time period in the schedule and provides the following information:

To calculate the actual dates for the scheduled dates, see Calculating Actual Dates for Scheduled Dates. To recalculate the actual dates, in the Progress Schedule Actuals to Date section, select Calc Actual Date for Scheduled Date from the row Actions menu.

Creating a New Contract Progress Schedule

To build the schedule, divide the work into time periods and then record the progress you expect to be made in each period. Follow these steps:

  1. On the Contract Progress Summary, click the Progress Schedule tab, and then select the Progress Schedule Type in the top part of the component.

  2. Expand the Progress Schedule Projection section in the lower part of the component.

  1. Enter a value for the first time period in either the Sched Time field or the Sched Dt field. If you enter a scheduled time (number of days), the system automatically calculates the Sched Dt and populates that field. If you enter a date, the system calculates the number of days and populates the Sched Time field.

  2. In the Projected Pct Cmpl field, enter the percentage you expect to be completed in this time period. (If the schedule type is Percent Complete for a Time Period, this is the percentage of work you expect to be completed. If the schedule type is Percent of Critical Items Complete, this is the percentage of critical items you expect to be completed.)

  3. Tab to the next row and enter information for the second time period as you did in steps 3 and 4 for the first time period. Continue to add rows for all time periods you want in your schedule.

    Note: If you are using the Critical Path Method schedule type, you will record only one time period row, with Sched Time and Sched Dt representing the final time period of the contract.

  4. Click the Save button.

Importing a Contract Progress Schedule

You can import a contract progress schedule as an XML file. For a successful import, the file must include these fields:

The import file must include values for all of these fields except for the Projected Percent Complete.
