Creating a Sample Record from a DWR Acceptance Record

You can use a contract material acceptance record to create a new sample record and automatically associate it with the appropriate contract project item material set. To create a new sample record from an acceptance record, perform these steps:

  1. Navigate to the Contract Daily Work Report Summary, and click the Acceptance Records tab.

  2. Expand an item posting row, and locate the appropriate acceptance record row.

  3. Select Create New Sample Record from the Actions menu on the acceptance record row. This action is available only for acceptance records that are not already associated with a sample record.

    The system takes you to the Create New Sample Record component.

  4. To save the new sample record, you must enter a value in the Sample ID field.

  5. To record a remark, you must first select the type of remark from the Type field, then enter explanatory text in the Remark text box.

  6. When you are finished, click the Save button.

    The system associates the sample record with the contract project item material set that corresponds to the DWR item posting that generated the acceptance record. The system copies the following data, if present, from the acceptance record to the sample record: Material Code, Sample Date (DWR Date), Sample Type, Acceptance Method, Source, Facility, SMFMI Name, and Brand Name. The Represented Quantity from the acceptance record is transferred to the sample record. After the sample record is created, you can no longer modify this information on the DWR acceptance record. The system displays the new sample record on the Sample Record Summary (see Maintaining a Sample Record).
