Maintaining User Source Authority

  1. Changing Dates and Status for Multiple User Source Authorities

Source authority determines which sources and facilities the user can access based on the user's assigned roles and source management levels. User source authority provides access not only to the sources and facilities governed by the selected source management level, but also provides access to any child source management levels in the same hierarchy. For more information, see Overview of Source Authority and Source Management Levels.

The Source Authority tab on the User Summary component contains a list of all the source authorities that are currently assigned to the selected user. To access the User Summary, click the Users link in the System Administration component.

Each row contains an Actions button. Expand the row to display current values for these fields:

To maintain a source authority, click in a field and add, change or delete information as needed. Selecting the All SML Access check box allows the user access to all source management levels. You either select this check box or enter a value in the Source Management Level Name field, but not both.

To delete a source authority, select Delete from the Actions menu on the source authority row. To reverse the deletion, click the Undo button.

To add a new source authority for this user, click the New button. The system adds a new row at the bottom of the list. You must enter a value in the Role ID - Description field in order to save the new source authority record.

When you are finished making changes, click the Save button. The system displays a message to confirm that your changes were saved in the database.

Changing Dates and Status for Multiple User Source Authorities

To change the effective date, expiration date, or status for more than one user source authority at a time, follow these steps:

  1. On the User Summary, click the Source Authority tab, and then select Multi-Row Source Authority Activity Assignment from the Actions menu on the source authority list.

    The system displays a modal window for selecting source authorities.

  2. To find the source authorities you want, enter criteria in the Quick find search box, or click Show first 10.

    The modal window lists the current user's source authorities that are marked as active but have an effective date in the future.

  3. Click a user source authority row to select it.

    A check mark appears at the beginning of the row to indicate it is selected. Continue selecting source authority rows as needed. You can click a row again to clear the selection.

  4. Enter new values in the Effective Date, Expiration Date, and Status fields at the top of the modal window.

  5. To apply the dates and status values you entered to all of the selected user source authorities, click Save.

    The system closes the modal window and displays a message to confirm that your changes were saved in the database. The appropriate rows on the Source Authority tab are updated with the dates and status values you entered in the modal window.
