Maintaining Reference Change Order Explanations

The change order process allows your agency to make legal changes to a signed contract. The change order process includes creating, approving, and tracking contract changes.

Change orders most typically are created to make time adjustments, item changes, or item quantity changes. Change orders created for other reasons need to include a description or explanation of the change being requested. Reference change order explanations enable the agency to create a list of other standard reasons for creating change orders. When you create a change order, you can select one of these reference explanations and this becomes a permanent part of the change order record.

When you click the Change Order Explanation link in the Reference Data component, the system takes you to the Reference Change Order Explanation Overview where you can add, change, and delete reference change order explanations.

To maintain a change order explanation, first locate its row by typing criteria in the Quick Find search box to locate a specific approval group, or click Show first 10 to display all the change order approval groups in the system. The system displays a list of rows for all the change order explanations in the system that match your search criteria. Each row contains an Actions button and current values for the following fields:

To change the information in a reference change order explanation, click anywhere in that explanation row. The system highlights the row in blue and displays information in labeled fields. You can information in any field.

To add a new reference change order explanation to the system, click the New button. The system adds a new blank row at the bottom of the rolling list of explanations. Record information as needed.

To delete a reference change order explanation, select Delete from the Actions menu on the explanation row.

When you are finished, click the Save button. The system displays a message to confirm that your changes were saved in the database.
