Bidders are vendors that have collected quotes from subcontractors, suppliers, truckers, or brokers for a bid in the bid letting. Quoters are vendors that have submitted quotes as subcontractors, suppliers, truckers, or brokers to a potential bidder in a bid letting.

The Bidder/Quoter Summary component contains an accordion list of all the bidders in the associated bid letting. To access the Bidder/Quoter Summary, click the Lettings link in the Preconstruction component, and then select Bidder/Quoter from the Actions menu on the appropriate bid letting row.

Each row on the Bidder/Quoter Summary represents one bidder record. Each row displays an Actions button and current values for the following fields:

Expand a bidder row to display quoters for the bidder in subordinate rows. Each subordinate row displays the following information for the quoter:

To delete a bidder from the bid letting, select Delete from the Actions menu on the bidder row. The system shades the row gray to indicate it is marked for deletion. To reverse the delete action, click the Undo button. To save your changes, click the Save button.

Adding Bidders

To add a new bidder for the bid letting, follow the steps below:

  1. Click the Select Bidders button.

    The system displays a modal window for locating and adding reference vendors.

  2. In the Select Bidders modal window, first locate the vendor you want to add as a bidder by typing criteria in the Quick Find search box or by clicking Show first 10.

    The system lists all the vendors that meet your search criteria.

  3. Click the row for each vendor you want to add.

    The system adds a check mark beside each vendor record you select and shades the row. To cancel a selection, click the selected row again.

  4. Click the Add to Letting button.

    The system closes the modal window and takes you to the Bidder/Quoter Summary with the new bidders added to the list.

Adding Quoters

To add a new quoter for a bidder, perform the following steps:

  1. Choose Select Quoters from the Actions menu on the bidder row.

    The system displays a modal window for locating and adding reference vendors.

  2. In the Select Quoters modal window, first locate the vendor you want to add as a quoter by typing criteria in the Quick Find search box, or by clicking Show first 10 to display a list of vendors who are valid for bidding in this bid letting.

    The system lists all the vendors that meet your search criteria.

  3. Click the row for each vendor you want to add.

    The system adds a check mark beside each vendor record you select and shades the row. To cancel a selection, click the selected row again.

  4. Click the Add to Bidder button.

    The system closes the modal window and takes you to the Bidder/Quoter Summary with the new quoters added to the bidder record.

  5. When you are finished making changes to bidder and quoter records, click the Save button to apply your changes.

    The system displays a message to confirm that your changes were saved in the database.

Maintaining Quoters

To add or delete quoter records for a bidder, click anywhere in the bidder's row to expand the record and display all the recorded quoters for the bidder. Each row underneath the bidder row represents one quoter. Each quoter row displays an Action button.

To view a list of all the proposals and contracts in the bid letting for which the vendor has submitted quotes, select Open Quoter Proposal from the Actions menu on the quoter's row. For more information, see Maintaining Quoter Proposals.

To delete a quoter from the bidder record, select Delete from the Actions menu on its row. The system shades the row gray to indicate it is marked for deletion. To reverse the delete action, click the Undo button.

When you are finished, click Save to apply your changes. The system displays a message to confirm that your changes were saved in the database.
