You can import contract information from SiteManager from any page in the application. You have two options for retrieving data from SiteManager:
Import from SiteManager
Update from SiteManager
Before importing contract data from SiteManager, make sure these conditions are satisfied:
Contract: only import if the contract status is active or complete.
Contract Item: only import if the contract item stats is a status other than pending.
Contract Estimate: only import if the contract estimate status is approved.
Subcontract: only import if the subcontract date is valid.
The system will not allow a contract to pass from SiteManager when Preconstruction has a proposal with the same name that has not yet been passed in the contract section of Civil Rights & Labor. You must pass that proposal to Civil Rights & Labor before the SiteManager contract can be imported.
The Import from SiteManager interface adds new contract data from SiteManager to the system and updates all existing Civil Rights & Labor contracts with new information. You can choose to import all contracts, contracts with an award date since the last import, or contracts modified after a specific date.
To import data from SiteManager, select Execute System Interface from the Actions menu on the Menu Bar. For more information about executing this interface, see Executing System Interfaces.
In parameter settings, you can specify how much information to import:
The Import Only Contracts With an Award Date On Or After the Last Import check box is selected by default. To import all contracts, clear this check box.
If you want to import only the contract information that was added since a specific date, enter the date in the Award Date field. This entry overrides the value in the above check box.
The system generates a log file containing a summary of the information that was successfully imported and any errors that occurred. The log file is saved in the database as an attachment, with the default name IMPORTFROMSITEMANAGER.LOG. For information about how to view process log files, see Viewing Process History.
The Update from SiteManager interface updates existing contracts and subordinate data in Civil Rights & Labor with information from SiteManager for one or more selected contracts. This process only updates existing contracts; it does not add new contracts.
To update data from SiteManager, select Execute System Interface from the Actions menu on the Menu Bar. For more information about executing this interface, see Executing System Interfaces.
Note: Do not use the Update from SiteManager interface to update all contracts. Because this interface is designed to update selected, existing contracts, you will receive an error if the amount of data to import is too large. To update all contracts, use the Import from SiteManager interface.
The system follows these rules when importing information from SiteManager:
If Proposal_ID is not available for importing, it is set to match the ConstructionContract_ID.
Fields in SiteManager that are being imported into Civil Rights & Labor should have the field values populated as Read Only in Civil Rights & Labor. Civil Rights & Labor fields that are not in SiteManager can be maintained normally in Civil Rights & Labor.
Contracts originating in Preconstruction are overwritten by a SiteManager import.
The system uses the Last Updated Date in SiteManager to determine which information needs to be imported from SiteManager.
The Supplemental Description included in the transitioned contract and contract project items will not be changed by the import/update processes if the values are changed in SiteManager (all other records except Supplemental Description will be updated). If the item records are added in SiteManager by change order, the Supplemental Description will be imported.
When contract data is imported, the Davis Bacon and State Prevailing Wage Rate Indicators are set according to the funding recorded in the source data. You can change the Wage Rate Indicators after the information has been imported.
Projects and Categories are imported.
Only the main milestone is imported; other milestone records are not imported.
Contract Item data is imported from SiteManager according to these rules:
Only contract items with a status other than pending are imported or updated.
All SiteManager contract items are rolled up such that item proposal line number is equal to one Civil Rights & Labor Contract Item.
Contract payment data is imported from the contract estimates for each contract. Payment item data is imported at the contract payment level. The contract estimate has the highest level approval before importing.
Subcontract data is imported into the Civil Rights & Labor Construction Contract Subcontract and Subcontract Item tables. The Subcontract Date is not null.
Values can be modified in agency fields and generic fields after import.
